1. Who We Are
Solutions Cay LLC (“Solutions Cay,” “we,” “us,” “our”) is a Texas limited liability company based in Plano, Texas. We operate two cloud services covered by this policy:
- K12 Products AI at k12.solutionscay.com
- Sage Forecast at forecast.solutionscay.com

2. Who Uses Our Services
Both services are available by invitation only to authorized staff at K-12 school districts and purchasing cooperatives. We do not knowingly collect information from students or individuals under 18.
3. Information We Collect
All services — account information
When you register, we collect your name, email address, and organization (district or cooperative).
All services — authentication data
Passwords are hashed and never stored in plaintext.
K12 Products AI — chat and search history
We store your conversations with Sage, our AI assistant, so you can reference prior sessions. You may delete your history at any time from your account settings.
Sage Forecast — uploaded forecast files
When you upload forecast files, we store the uploaded data to perform catalog matching and demand aggregation. Uploaded data is associated with your organization and is not shared with other organizations on the platform.
Usage analytics
We use Ahrefs Webmaster Tools for anonymized page-level analytics (pages visited, general traffic patterns). This data does not identify individual users.
4. How We Use Your Information
- To create and manage your account
- To operate the applicable service
- To maintain your session or upload history
- To improve our services
- To send service-related communications
We do not sell your information. We do not use your information for advertising.
5. Third-Party Services
Google. AI-assisted features in our services transmit your queries or data to Google’s AI infrastructure for processing. Please review Google’s Privacy Policy for how Google handles API data.
Ahrefs. We use Ahrefs for anonymized page-level analytics.
Cloudflare. Both services run on Cloudflare’s infrastructure (Workers, D1, R2). Cloudflare processes network traffic as part of service delivery. Please review Cloudflare’s Privacy Policy.
6. Data Isolation
Each organization’s data is logically isolated. Your district’s or cooperative’s data is not accessible to other organizations using the same service.
7. Data Retention
Account data is retained while your account is active. K12 Products AI chat history is retained until you delete it or close your account. Sage Forecast uploaded files are retained for the duration of the active forecast cycle or until you request deletion. We will delete your account and all associated data upon written request.
8. Your Rights
You may:
- Request access to the information we hold about you
- Delete your K12 Products AI chat history via account settings
- Request deletion of your account and associated data by emailing [email protected]
We will respond within 30 days.
9. Security
We implement industry-standard controls: HTTPS/TLS encryption, hashed passwords, and Cloudflare infrastructure security. No transmission method is 100% secure.
10. Changes
We will notify registered users by email of material changes and update the effective date above. Continued use of the Service after changes constitutes acceptance.
