The Challenge
Managing competitive bidding for high-volume items like cafeteria food and equipment involved overwhelming amounts of vendor documentation, price lists, and product specifications scattered across email, spreadsheets, and file folders.
Critical problems emerged:

The Digital Asset
We developed a relational bidding database that digitizes bid submissions and technical specifications, allowing procurement staff to instantly compare vendor pricing, product information (ingredients, nutritional data, warranty terms), and award justification across multiple categories.
The system manages four procurement categories—Food Items, Large Equipment, Small Equipment, and Uniforms—under one integrated platform, generating print-ready Awards Lists and Bid Comparison reports that streamline the award process and provide an easy-to-audit compliance record.
